Your placement order, step by step

The short answer

Your placement order is the record of one placement in your OnPracticum portal: its hours, place, setting, window and order number, with a bar of eight steps from Booked to Completed. It moves through Booked, Reserved, Matched, Confirmed, Meeting, Application, In rotation and Completed, and each step shows on your order the moment it happens. Under each order, the Matched preceptor section fills in as your placement moves forward.

Where to find your order

Your orders live on the Orders tab of your portal, under the heading Your placement orders. Your placement manager sets each one up, and the page follows it from the first request to your completed hours. Open orders are listed first, and the number beside the Orders tab counts them.

You also see your current order in two other places: at the top of your portal, beside the welcome, and in the Your placement card on the Overview. Both show the order that is furthest along and still running, so the one most likely to need you is always in front of you. Select Open your order on the Overview to go straight to it.

What each order shows

Each order is a card. Its heading gives the practicum hours and the place, and its status sits beside it. Underneath, four short lines and the bar of steps tell you the rest:

On the orderWhat it tells you
Hours and placeThe practicum hours this placement covers, and the city, state and ZIP code where they take place.
StatusThe step your order has reached, written in a word, such as Reserved or In rotation.
SettingThe kind of clinical setting for the placement. It reads To be set until it is decided.
PreceptorThe preceptor credential the placement calls for, or Any credential when more than one fits.
WindowWhen your hours take place, as months or as your school term. It reads To be set until the dates are fixed.
OrderYour order number. Mention it when you write to your placement manager about this placement.
StepsThe bar of eight steps, with the steps already done filled in and the current one marked.
Matched preceptorA section at the bottom of the order with your preceptor’s details and documents, open by default.

The eight steps

Every placement order moves through the same eight steps. Your placement manager moves the order forward, and the step shows on your order as soon as it changes. Here is what each one means and what helps from your side:

StepWhat it meansWhat you do
1. BookedYour order is placed.Check the hours, place and window on your order, add your school portal login in Settings and send your placement paperwork to your Dropbox.
2. ReservedThe search for your preceptor begins.Keep your phone and email close, and reply to your placement manager when they write. Add any paperwork that is still missing.
3. MatchedA preceptor is matched. You see their first name and facility.Look at the Matched preceptor section of your order, and keep your calendar open for the window of your hours.
4. ConfirmedYour placement is confirmed.Note the window and the setting, and keep your license and health records current in your Dropbox.
5. MeetingYou meet your preceptor.Prepare for a short, professional first conversation: your schedule, your school’s requirements and what your preceptor expects.
6. ApplicationYour clinical application goes to your school. Your preceptor’s full details show, ready for your school’s preceptor form.Fill in your school’s preceptor form from the details on your order, download the documents your school asks for, and share a one-time code from your school portal if the team asks for one.
7. In rotationYour clinical hours are under way.Attend each clinical day, log your hours the way your school asks, and keep your preceptor’s sign-offs current.
8. CompletedYour hours are complete.Make sure your hours and evaluations are signed and submitted to your school, and keep a copy of your records.

Reading the bar of steps

The bar under each order lists all eight steps in order. The steps already done are filled in, the current step is marked, and the steps still ahead are left open, so one look tells you how far your placement has come and what comes next.

Where a card is too narrow for eight labels, such as on a phone, one line names your step instead, for example Step 6 of 8: Application. The same bar appears at the top of your portal and in the Your placement card on the Overview, so all three always agree.

The Matched preceptor section

At the bottom of every open order sits the Matched preceptor section. It is open by default, and you can fold it away with the bar at its top and open it again whenever you like. Before a match, it is blank and reads Not matched yet.

From the Matched step, it shows your preceptor’s first name and facility. More of the profile opens as the placement moves forward, and at the Application step your preceptor’s full details and documents show, set out as the lines a school’s preceptor form asks for. The guide to your preceptor’s details walks through every line.

When you have more than one order

If your program needs hours in more than one course or term, you may have more than one placement order. Each has its own card, its own order number, its own eight steps and its own Matched preceptor section, so every placement is followed on its own.

The top of your portal and the Overview focus on the order furthest along that is still running. When every order is complete, they show your newest completed one. All your orders stay listed on the Orders tab.

When an order is cancelled

A cancelled order stays listed on the Orders tab, below your open orders, so your history stays in one place. It shows greyed out, with its status as Cancelled, and its bar of steps is left empty. Cancelled orders are not counted in the number beside the Orders tab, and they have no Matched preceptor section.

If you have a question about a cancelled order, reply to any message from your placement manager and mention its order number.

Staying up to date

You don’t need to keep checking your portal to know where your placement stands. As your order moves from one step to the next, you get a text or an email letting you know, and the new step shows in your portal right away.

When you sign in, the line beside the welcome tells you where your order stands, such as Your preceptor is matched or Your placement is complete. For anything about a specific order, reply to any message from your placement manager, and keep paperwork in your Dropbox so the team has it when your order needs it.

Questions students ask

What does Reserved mean on my order?

Reserved means the search for your preceptor has begun. Your order moves to Matched when a preceptor is matched to it.

Why can I only see my preceptor’s first name?

At the Matched step, your order shows your preceptor’s first name and facility. More of their profile opens as your placement moves forward, and their full details show at the Application step.

What happens at the Application step?

Your clinical application goes to your school. Your preceptor’s full details show on your order, ready for your school’s preceptor form.

How will I know when my order moves to the next step?

You get a text or an email as your order moves, and the new step shows in your portal the moment it happens.

What does To be set mean on my order?

That line, usually the setting or the window, hasn’t been decided yet. It fills in on your order once it is.

Why is one of my orders greyed out?

That order has been cancelled. It stays listed below your open orders so your history stays in one place.

Who do I ask about a specific order?

Reply to any message from your placement manager, and mention the order number shown on the order.
